Vendor Terms & Rules

These terms set out what we expect from vendors and what you can expect from us. By reserving a table, submitting payment, or setting up at the show, you agree to everything below.

Effective: September 19, 2026 Applies to: all vendors at the I-80 Card Show Questions: info@i80cardshow.com

1. Check-in & access

  • All vendors must check in at the registration table before setting up.
  • Bring photo ID and the name the table was booked under to collect your table assignment and dealer badges.
  • Each table includes two dealer admissions. Additional helpers need a badge requested in advance or paid admission at the door.
  • Only badged vendors and approved helpers may be in the hall during setup and breakdown.
  • Setup times and load-in directions go out by email with your confirmation, and are announced on @i80card_show before each show.

2. Setup & breakdown

  • Tables, chairs and covers are in place before you arrive. Table positions are fixed — moving or rearranging tables is not permitted.
  • All setup must be finished before doors open to the public.
  • No early breakdown. Tables stay stocked and staffed until the show closes. Packing up early empties the room and affects your eligibility for future shows.
  • Displays, racks, boxes and signage must stay within your table footprint and must not block aisles, exits or a neighbour's visibility.
  • Freestanding racks, shelving, oversized displays and extra furniture need written approval in advance.
  • Leave your space as you found it. Take your rubbish with you.
  • We may ask you to adjust or remove anything that creates a safety risk or obstructs neighbouring tables.

3. Table use & reservations

  • Tables are $200 each and include one 8' table, two chairs and two dealer admissions.
  • Tables are assigned on a first-paid, first-confirmed basis. Submitting the sign-up form does not hold a table.
  • We do our best to honour placement requests, but table assignments are ultimately ours to make.
  • Tables may not be sold, transferred, sub-let or shared with anyone who did not register, without written approval.
  • Changes to your booking — table count, business name, who's attending — should reach us at least 14 days before the show.

4. Payment, cancellations & refunds

  • Your table is confirmed when payment clears, not when the form is submitted.
  • More than 14 days before the show: full refund, or credit toward a future show — your choice.
  • Within 14 days of the show: credit toward a future show only, and only if we are able to resell your space.
  • No-shows forfeit the table fee and may not be offered space at future shows.
  • If we cancel or postpone a show for any reason, you choose between a full refund or credit toward the rescheduled date.

5. What you may sell

  • This is a trading card game show. Pokémon and other TCGs, sealed product, graded slabs, packs, singles, and hobby supplies and accessories.
  • No sports cards and no general collectibles. We keep the room focused so buyers know exactly what they're coming for.
  • Sell only what you listed on your sign-up form. If your inventory changes substantially, tell us before the show.
  • Everything you sell must comply with applicable local, state and federal law.
  • We reserve the right to require removal of any item we consider unsafe, unlawful, or inappropriate for an all-ages show.

6. Authenticity & counterfeits

  • Counterfeit, proxy, reprinted-as-original and altered cards are prohibited — no exceptions, including for display.
  • Resealed, tampered or misrepresented sealed product is prohibited.
  • Custom or fan-made cards must be clearly and permanently marked as such and must not resemble authentic product.
  • Misrepresenting a card's condition, grade, edition or authenticity is grounds for immediate removal without refund.
  • If a buyer raises a dispute at the show, both parties are expected to work with event staff in good faith to resolve it.

7. Seller's permit & sales tax

  • California requires sellers at events like ours to hold a valid CDTFA seller's permit, and requires event operators to keep seller information on file.
  • Provide your permit number on the sign-up form. If your application is still in progress, write "applying" and send the number as soon as you have it.
  • Bring a copy of your permit to the show.
  • You are solely responsible for collecting and remitting any sales tax due on your sales. We do not collect or remit tax on your behalf.
Not sure whether this applies to you? Check with the California Department of Tax and Fee Administration. A permit is usually required even for occasional sellers at organised events.

8. Professional conduct

  • Be straight with buyers and with each other. This is a small hobby and reputations travel.
  • Harassment, discrimination, threats, intoxication and aggressive or predatory selling will not be tolerated and are grounds for removal without refund.
  • Lowball offers are fine; pressuring someone — particularly a young collector or an inexperienced seller — is not.
  • Stay within your own space when selling. Do not solicit customers away from neighbouring tables or work the queue outside.
  • No smoking, vaping, alcohol or illegal substances anywhere in the venue.
  • No amplified music, microphones or PA use at tables. Live streaming and filming at your own table is fine at a reasonable volume.
  • Keep your area tidy and clear of rubbish throughout the day.

9. Liability & insurance

  • Vendors are entirely responsible for their own inventory, cash, equipment and displays at all times, including during setup and breakdown.
  • The I-80 Card Show, its organisers and staff, and the venue are not liable for theft, loss, damage or injury of any kind.
  • The hall is not secured overnight for vendor property. Do not leave valuables unattended at any point.
  • We strongly encourage carrying your own business or event liability insurance, and insuring high-value inventory.
  • You are responsible for any damage you or your helpers cause to the venue, its equipment or another vendor's property.
  • Transactions at the show are between buyer and seller. We are not party to them and do not mediate or guarantee them.

10. Staff authority & compliance

  • Vendors must follow directions from event organisers, event staff, security and venue staff.
  • Staff may inspect tables at any time to check compliance with these rules and with safety requirements.
  • Failure to comply may result in removal from the show without refund, and may affect eligibility for future shows.
  • All venue rules, fire regulations and occupancy limits apply and override anything here that conflicts with them.

11. Resale & unauthorized representation

  • Reselling or transferring your table to another party is prohibited.
  • Only vendors registered through our official sign-up form may sell at the show.
  • Selling from the aisles, the lobby, the car park or the queue is not permitted for anyone, vendor or attendee.
  • Do not present yourself as affiliated with, sponsored by, or speaking for the I-80 Card Show without our written permission.

12. Media & promotion

  • By exhibiting, you give us permission to photograph or film your table and likeness for event promotion, recap content and social media.
  • We aim to represent vendors positively and professionally. If you'd rather not appear, tell us at check-in and we'll respect it.
  • You may film or stream at your own table for security or content, provided it doesn't disrupt neighbouring vendors or capture attendees who object.
  • Attendees and vendors should ask before filming someone else's table, cards or purchases.

13. Show floor rules for everyone

  • Admission is $10 at the door. Children 10 and under enter free with a paying adult, and must stay with an adult.
  • Admission may be refused or revoked for disruptive, threatening or dishonest behaviour, without refund.
  • Theft will be reported to law enforcement and results in a permanent ban.
  • No smoking, vaping, alcohol or illegal substances in the venue.
  • Aisles must stay clear. Please don't block a table while you sort through your own cards.
  • Attend at your own risk: we are not responsible for loss, damage or injury on the premises.

14. Changes to these rules

  • We may update these rules to keep the show safe, fair and enjoyable. The current version always lives on this page.
  • Material changes will be emailed to booked vendors before the show they affect.
  • The version in force is the one published here on the day of the show.

By booking a table, you agree to all of the above
